Moving into a new office or expanding an existing one is the best time to design technology properly. Cabling, Wi-Fi, internet, security devices and cloud accounts are much easier to standardise before staff are depending on them every day.

Internet and network foundation

• Confirm primary internet and whether failover is required.
• Plan managed switching, VLANs and PoE capacity.
• Place Wi-Fi access points based on floor plan and device density rather than convenience.
• Document firewall ownership and remote-access rules.

Users, devices and cloud accounts

• Create named user accounts and remove shared logins where practical.
• Enable MFA for cloud services and administrators.
• Apply a standard laptop/desktop build with updates and endpoint protection.
• Create an onboarding and offboarding checklist.

Backup and storage

Decide what data needs local NAS storage, cloud storage or both. RAID is not a complete backup. Define retention and test restores.

CCTV, access control and telephony

Coordinate CCTV/NVR, access control, attendance and IP phones with switching, PoE and network segmentation so these systems are not installed as isolated devices.

Ongoing support

Before launch, decide who handles user support, internet escalation, vendor accounts, backups, security incidents and hardware replacement. An AMC can make these responsibilities explicit.
